TNN Privacy Policy and Personal Information Collection Statement

This Privacy Policy explains how The New Normal Charity Limited ("TNN", "we", "us", or "our") collects, uses, discloses, retains, and protects your personal data in compliance with the Personal Data (Privacy) Ordinance (Cap. 486 of the laws of Hong Kong) ("PDPO"). Personal data means any information relating to an identified or identifiable individual, such as names, contact details (e.g., email, phone), addresses, photos, or other details that can identify you.

2. Personal Information Collection Statement (PICS)

We collect personal data only for lawful and relevant purposes, take all reasonable and practicable steps to ensure its accuracy and security, and avoid unauthorised or accidental access, loss, or use. The personal data we may collect includes your name, email address, phone number, and other contact details provided voluntarily (e.g., via forms, event registrations, donations, or website interactions).

3. Purposes of Collection and Use

We collect and use your personal data for the following purposes:

  • Processing and acknowledging donations;

  • Sending communications such as newsletters, updates on programmes, events, training, lectures, seminars, peer support groups, or other activities delivered by TNN or in partnership with us;

  • Enrolling you in courses, programmes, conferences, events, or resources;

  • Providing access to website resources and improving our understanding of website traffic (e.g., via analytics);

  • Working with volunteers and managing related activities; and/or

  • Complying with legal obligations or responding to regulatory requests.

4. Direct Marketing

We will only use your personal data to send direct marketing communications (e.g., promotions of events, programmes, services, or donation appeals) if you have given us your explicit consent (e.g., via an opt-in checkbox on forms or registration pages). You may withdraw your consent at any time, free of charge, by:

  • Clicking the unsubscribe link in any email;

  • Contacting us at hello@thenewnormalcharityhk.org; or

  • Notifying us in writing. We will process withdrawal requests promptly and place you on an Opt-Out List. Withdrawal does not affect the lawfulness of processing based on consent before withdrawal. All direct marketing emails will include a link to this Privacy Policy and unsubscribe instructions.

5. Security of Personal Data

We take all practicable steps to safeguard your personal data, including:

  • Using up-to-date database software;

  • Restricting database access (controlled by the Chief Executive Officer of TNN);

  • Sending emails from authorised TNN addresses;

  • Using secure tools like MailChimp or Eventbrite for mass emails (which mask recipient addresses);

  • Sending multi-recipient emails via BCC where appropriate. We will investigate and respond to any suspected data breaches in line with PDPO guidance.

6. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law (e.g., up to 7 years for financial/donation records under tax and accounting requirements). Upon withdrawal of consent, completion of the purpose, or expiry of any legal retention period, we will securely delete or anonymise the data. We conduct periodic reviews to ensure compliance.

7. Sharing and Disclosure of Personal Data

We may share your personal data with: a) Your representatives, advisers, or others you authorise to act on your behalf; b) Our staff who need the information to perform their duties; c) Affiliates within our corporate group; d) Third-party partners, agents, or service providers (e.g., website hosts, email platforms like MailChimp/Eventbrite, payment processors) that assist us in operating the website, delivering services, or conducting business; e) Competent courts, law enforcement, or regulatory bodies when required by law or to protect our legal rights.

Where data is shared with third parties (including any overseas entities), we require them by contract to provide a level of protection equivalent to the PDPO and to use the data only for the specified purposes. We will not disclose your personal data to third parties for their own direct marketing without your separate explicit consent. We may also disclose data in good faith where necessary to: comply with legal process; protect our rights, property, or safety; respond to claims; or protect the public (as permitted under the PDPO).
